Library Board of Trzsstees Update

• Committees were appointed: Operations -Beverly Kolz and Mike Willis;
Relations -Paula Connors and Kristen Smith; and Planning -David Hammer and
Beth Leeper.
• Trustee by-laws were revised and require a minimum of two Committee meetings
a year. The Operations Committee will serve as a "building committee" during
the Library renovation.
• The Board discussed the impact of having four trustee terms expire in the same
year and Diann Guns worked out a way to stagger them. The Board asked the
Director to contact the mayor with this proposal.
• It was decided that renovation update letters will be sent to donors who have
pledged funds, and one time donors of $500 or more, to let them know how the
project is progressing. Pledges are not legal obligations and by keeping donors up
to date they will be reminded of the positive impact their financial support will
have for the community through the Library's renovation.
• October marked 33 percent of the fiscal year passing. Expenditures were at 33
percent and revenue generated was at 33.1 percent.
• Library visits were up year-to-date by 4 percent. Library circulations increased 6
percent and while DVD circulations remain robust, the circulation of print
materials increased 6 percent for adults and 4 percent for children. Use of
computers in the Internet Room decreased two percent, but the circulation of
laptop computers has increased year-to-date 278 percent which is a clear
indication of how they have caught on and have changed the way that people use
the library on a daily basis.
• Demolition and deconstruction of the building will begin on the Monday after
Thanksgiving. An estimated time frame for construction is as follows:
o Phase One - November -January, 2009
o Phase Two -Late January -May, 2009
o Phase Three -Mid-May -July, 2009
o Phase Four -August -October, 2009
o Phase Five -October -December, 2009
• The Library Board approved closing the Library for one day -Wednesday,
December 17, 2008 - to move the bulk of the materials that are slated for storage.
The day will be split into two 8-hour shifts between 7:00 a.m. and 10:00 p.m.
• Agreements have been drafted for McGraw-Hill and Peosta Warehousing
Logistics. McGraw-Hill is donating warehouse space for 100,000 items, boxes,
pallets, and plastic for wrapping pallets, as well as hand jacks to be used during
the move. Peosta Warehousing is donating space to house antiques and artworks
so there is no risk of loss or damage during construction. Pape Transfer will
provide semi-trailers for $100 each to move materials to McGraw-Hill.
• The Board passed a resolution stating they would like to review every offer that
may come in for the Heade painting until the discrepancy in the asking price is
resolved.
• On Thursday, December 18th the Library Board will host a holiday reception
from 3:30 - 4:30 in the Rotunda area for the Mayor, City Council and City
Manager, Library staff, volunteers, Friends and Foundation members.
