SUBJECT: Town Clock Renovation Project, #102-1215 DATE: March 6, 2008 INTRODUCTION The purpose of this memorandum is to ask the City Council to adopt the attached resolutions authorizing the public bidding procedure for the Town Clock Renovation Project. DISCUSSION The FY 2007 CIP budget contains $195,250 and the FY 2009 CIP budget contains $200,000 for phase I of the Town Clock renovation project. Phase II of the renovation will be completed in seven years when the clock will need repainting. The architect's estimate for this project is $365,000. Renovation of the Town Clock will include applying an E.I.F.S. finish to the pedestal base of the clock, replacing the electrical system and interior lighting, repairing the exterior of the clock, and painting the clock. This project was bid last summer for fall and spring construction to avoid conflicting with the many events held each year around the Town Clock. Low bid at that time was $375,100. All bids were rejected and additional funding requested in the FY 2009 budget. We are bidding the project now to allow construction over the summer, thinking that will lower the price. Arrangements are being made to minimize conflict with events so none of them will have to relocate. More time is being given for construction during good weather. more page two The schedule for the project is as follows: City Council initiate public bidding process Advertisement for bids Notice of public hearing on plans and specifications Public hearing Receipt of Bids Aware construction contract Project completion date The estimate of probable cost is as follows: Estimate Construction contract $ 365,000 Design $ 30,250 Total $ 395,250 ACTION STEP March 17, 208 March 21, 2008 March 21, 2008 April 7, 2008 April 10, 2008 April 21, 2008 November 1, 2008 The action requested is that the City Council adopt the attached resolutions initiating the bidding process, establishing a date of public hearing on the plans and specifications and to authorize the City Clerk to advertise for bids.
