Update_Library Board of Trustees 3 25 10i Carnegie -Stout Public Library Library Board of Trustees Update From the Meeting of March 25, 2010 Present: President; Diann Guns, Paula Connors, David Hammer, Beverly Kolz, and Mike Willis Excused: Kristen Smith, Elizabeth Leeper • 67% of the fiscal year has lapsed and 65% of the budget has been expended • Revenue is at 84.5% of projections • Circulation in February was down 1 %, most likely due to the Library being closed for two days for the last collection move. Overall circulations are up 5% over last year which is especially interesting because last year the number was up and both years have experienced construction. • Circulation of lap top computers continues to experience the highest jump in use — up 60% • Work has begun on preparing for staffing post- renovation and staff members have shared some very good ideas. Ideas currently being explored are: o Evaluating jobs — can one be split among several departments? o Evaluating schedules — are we currently staffing when there is the greatest need or is Monday- Friday a "sacred cow "? o Evaluating how the "on- call" budget is spent; should it be reduced to reallocate to a regular staff member? o Evaluating breaks in favor of flexibility o Organizational chart o Last to be reviewed will be hours and services; as long as we have a few stones unturned we shouldn't discuss cuts • The staircase to the second floor that led to the Children's Department has closed and the historic staircase has opened. The punch list for Phase 3 second floor has been postponed until April 15. • There was discussion regarding the City of Asbury's request to withdraw from the Agency to which they have been paying for library service. Asbury has decided to join the County Library system and have a branch in their community so they will begin paying the County instead of the Agency. The Agency will meet on April 7 to vote on whether to accept their request for withdrawal. The Asbury withdrawal letter included provision for a $6,000 contribution to the Agency because they were a month late in their request. The Board voted to accept the request for withdrawal. [When the Agency met on the 7 they voted unanimously to accept the withdrawal so as of July 1, Asbury residents will no longer be "contract" patrons, but will be Open Access from the County.
