The purpose of this memorandum is to request release of Federal Building funding for
conversion of space in the Housing Department offices for the new Family Self -
Sufficiency (FSS) Program coordinator, Erica Haugen.
Engineering has developed aplan for conversion of the mail /copier room into two areas:
one for the copiers and work spaces presently in use in this room, and the other for the
new FSS office. The schematic (attached) shows this is accomplished with the addition
only of a dividing wall and entry door. The down -side is loss of the existing hallway
door, which must remain closed due to the positioning of one multi- function copier
machine. No other functionality of the existing work area is lost due to the conversion,
other than 'shrinking' the space into less generously -sized dimensions.
Steve Brown had Randy Klauer bid the work, as Tricon Construction is presently heavily
scheduled. Klauer's bid is $17 036. Steve suggested adding a $2000 contingency and
$3000 for the employee workstation (we have a computer), bringing the total cost to
$22 000.
Steve obtained CIP budget numbers from Jenny, showing a current balance in the
Federal Building capital account of $143 000. Of this amount, $95 000 is set aside for
tuck pointing in FY2011, leaving approximately $48 000 available for this purpose.
Alternatively, we could situate the new FSS staff in the office located in the rear hallway.
I would recommend against that option, as it would operationally isolate Erica Haugen
from the rest of the Section 8 team. She also could continue sharing an office with
Carroll Clark, but this makes confidential interviewing of clients by both FSS staff
impossible.

AREAS OF CONSTRUCTION AS SPECIFIED.
BASE BID: Provide labor, material and equipment to provide floor protection, dust protection, demolition of
selected areas, transportation and disposal of debris, construction of new wall, sheetrock finishes, painting of
affected areas, re- laminating existing cabinet ends and existing countertops, cut in new 1/2 lite into existing door,
fabricate and install re- claimed door jamb and door (from owner stock), install re- claimed base and casing from
owner stock, strip & re- finish door, door jamb, casing & wood base from owner stock, patch and repair ceiling,
patch and repair carpet at new opening only (see note #6). Price includes data, electrical and HVAC revisions,
please see below for specifics & options.
DATA REVISIONS: Labor to relocate existing (3) port data and voice location from west wall to new partition
wall between the office and work room.
Note: If additional cables are needed they can be installed on T &M basis.
ELECTRICAL REVISIONS: Remove & relocate (2) duplex receptacles, supply & install (1) new duplex
receptacle, remove (3) light switches, supply and install new occupancy sensor, remove and relocate (1) ceiling
light fixture, remove (1) under cabinet light, remove and relocate fire alarm strobe into copy area, supply and
install blank plates for all abandon locations.
HVAC REVISIONS: Use existing VAV box and thermostat to control office. Add (1) supply diffuser in the office
and (1) return grille in the copy room.

ALTERNATE #1: Separate the HVAC for each room. Additional ceiling tile & grid removal and replacement.
Use existing VAV box and thermostat to control the office. Add a new VAV box, reheat coil, hot water piping,
thermostat and ductwork to control the copy room. Controls by Woodman Controls. Add (1) supply diffuser in the
office and (1) return grille in the copy room.
Add to the base bid $7,651.00
NOTES:
1) All wood trim, base, casing, door, door jamb, and door hardware is to be supplied by owner.
2) All office furnishings are to be supplied and installed by others.
3) No sales tax is included. It is assumed this is a tax exempt project.
4) All work is to be done during normal business hours. Monday thru Friday 7:00 am thru 3:30 pm
5) Removal and relocation of existing office equipment prior to commencement is to be done by others as well as
re- installation at completion
6) We assume the carpet is underneath the existing cabinets. If this is not the case, additional charges will apply.
