Minutes Park & Rec 9 23 03PRESENT: ABSENT: IRISH FEST REQUESTTO USE MURPHY PARK OCTOBER 10AND11,2003; VOTE: PARK AND RECREATION COMMISSION SPECIAL MEETING Tuesday, September 23, 2003 4:30 p.m., in the Third Floor Auditorium, Carnegie-Stout Public Library Tom Biocklinger, Klm Daykin, Chuck Duggan, Gary Harjehausen, Paul Hoffmann and Tom Schrobilgen Staff present: Gil Spence, John Hail, Pat Prevenas and Eileen Trimble Karen Lyness John Finn, Bill Finn and Francis Henkels met with Leisure Services Manager Gil Spence and Park Division Manager John Hail on September 18th. They asked to have Murphy Park as a backup site for the Irish Fest on October 10th and 11th, in case their request for a second downtown location was turned down. Mr. Spence told them the request would have to go to the commission, and he would try and schedule a meeting for Tuesday or Wednesday. They told Mr. Spence to fax meeting information to Francis Henkels. No representatives were present at the time the meeting was called to order at 4:30 p.m., so last year's event was discussed. · Mr. Spence said last year's event went smoother than 2001 because Park Division Manager John Hail spent a lot of time working with the event planners making sure plans were complete, plus we hired security staff and parking attendants, and had a maintenance worker on site; those were the biggest issues from 2001. The department paid all the workers and was to be reimbursed by Irish Fest; they still owed over $1,200 from last year's event. A check was delivered to the office on September 22, 2003. · Commissioner Harjehausen asked about the charitable organizations that were supposed to benefit from this event - what were there expectations going in to the event, and what did they actually receive. · Commissioner Hoffmann said he talked to the Boys' and Girls' Club (last year's charitable organization). They provided a lot of tabor and did a lot of work. They were expecting a donation between $7,000 and $9,000, but received only $1,300. At 4:46 p.m., no Irish Fest representative(s) had arrived. It was moved by Du,q,qan, seconded by Hoffmann, to deny the request of Irish Fest to use Murphy Park, because no representative was present to discuss the matter. ADJOURN; VOTE: It was moved by Hoffmann, seconded by Harjehausen, that the meeting be adjourned at 4:46 p.m. The motion passed unanimously. Chairperson Attest
