Library Board of Trustees Update

Present: President; Diann Guns, Paula Connors, David Hammer Elizabeth
Leeper, Fred Miller, Kristen Smith and Mike Willis
• August marked 16 percent of the fiscal year lapsing with 16 percent of the
budget expended. Revenue raised was 11 percent of projections.
• Circulation was down 16 percent in August, but year -to -date remaining
approximately the same. During this time of the final phase of
construction the number of questions increased tremendously.
• The Grand Reopening was scheduled September 16 — 19 and was very
successful. Over 8 hours Saturday visitors numbered 1,361 and over 4
hours on Sunday the count was 798. Author Gary Paulsen spoke on
Sunday to over 200 people.
• The search for Library Aides to staff the Recommendations Desk has
been extended and interviews will begin the last week of September to fill
the remaining two part-time positions.
• The Renovation Project reached substantial completion with the following
list of items that remain unfunded:
o Two self -check machines ($45,000)
o ICN room
o Public computers ($20,000)
o Super graphics ($10,000)
o Staff lounge ($32,457)
Additionally, the following items are listed as essential and outstanding:
o Furniture in Children's Room ($6,500)
o Signage ($10,000)
o Coat Rack and Hangers ($700)
o Shelving for First Floor ($20,000)
o HVAC Maintenance Agreement — misquoted in FY10 budget; need
$12,000
Susan will follow up with Steve Sampson -Brown to discuss remaining
contingency funds vs. outstanding needs.
• Discussion was held regarding a proposal to hire Sue Epstein of Susan
Baerg Epstein, Ltd. to consult in the area of Technical Services. The
consulting would include:
o Identify steps in our work that can be eliminated saving time and
materials
o Identify the cost - effectiveness of accepting gift books and other
donations
o Evaluate the workspace for flow and design for maximum efficiency
o Evaluate the work that volunteers now perform and recommend
other tasks for either volunteers or work that entry level staff
members can perform
o Recommend outsourcing for particular areas if applicable
o Design a plan that can reduce our back log significantly
The proposal was approved.
