Library Board of Trustees Update
From the Meeting of
October 28, 2010

The Library Board of Trustees met on October 28 and the following is a summary
of the meeting:
• September marked 25 percent of the fiscal year passing with 24 percent
of the budget expended. Seventeen percent of projected revenues have
been received. The operating budget was submitted on October 20. The
operating budget hearing with the City Manager is set for November 15
at 8:15 a.m.
• In -house circulations and visits were down in September, three and 12
percent respectively. Although attendance was very high at the Grand
Reopening, it was not enough to compensate for the days closed earlier in
the month to move materials back into the Library from storage. The new
security gates were not installed until later in September which affected
the counting of visitors. Database use was high with 15 of the 18 having
increased use.
• During a meeting with the City Manager, Budget Director and Steve
Brown it was agreed that an HVAC preventative maintenance agreement
could not be paid from the renovation contingency funds. The City will be
able to contribute $4,500 toward the contract with the Library's operating
budget covering the balance. Future years will be planned in the
operating budget.
• The Library was awarded a grant by Mediacom to work with Gail
Chavenelle who has created a large sculpture titled "Family Reading" that
will be installed outdoors near the Library entrance.
• Staff Development Day was held October 21 with presenter Warren
Graham who spoke on the topic of security and how to deal with the most
difficult patrons.
• Amy Muchmore and Becky Heil have been hired as Library Aides to work
at the Recommendations Desk. They will begin working in November and
represent the last positions to be filled.
• Excellent references have been provided for Susan Baerg Epstein, Ltd.
and she will begin to work with our Technical Services department to
evaluate work flow and processes. She will start on the project by
collecting data that we will provide and will begin on -site work in January.
• Discussion was held regarding the length of the lines for check -out of
materials. It was noted that all machines need to provide a method for
opening DVDs which will encourage the use of self -check machines. A
dual- monitor self -check machine will be set up at the second service point
at the Circulation Desk with a staff member to assist and open the DVDs.
This will relieve congestion as well as build user confidence in using self -
check machines.
• Discussion was held regarding the new AN shelving and how low to the
floor the bottom shelf is making it difficult for some people to browse and
find materials. Susan is working on several options to identify a fix.
• The Christmas Tree Lighting will be held on Sunday, December 5 at 2:00
p.m.
• The Library Board of Trustees' Holiday Reception for staff and volunteers
will be held on Wednesday, December 15 at 3:00 p.m.
