Library Board of Trustees Update

• March marks 75 percent of the fiscal year lapsing and expenditures are right on
target at 75 percent. Revenue stands at 65 percent of projections.
• Nine electronic resources show strong increases in use and are up anywhere from
16 to 60 percent in use. The seven percent increase in circulations is largely due
to the additional adult books and DVDs checked out. YTD library visits are up 7
percent, but March was up 19 percent, likely due to the art exhibit. This Art @
your library exhibit has been very popular.
• The Art Subcommittee is now actively working on planning the FY 12
Art @ your library exhibits which will kick off with a Holiday exhibit and sale.
Until then members of the Art Subcommittee will fill in with their works. This
will begin in June when Gail Chavenelle's welcome sculpture will debut.
• The Library received the Ken Kringle award for historic preservation on April 19.
Fred Miller, Mike Willis and Susan Henricks attended the ceremony and award
which was accepted by the Mayor. The Mayor sent the award to the Library and
it will be kept in the Lacy Board Room with our other awards and recognition for
the project.
• Skills assessment exercises for the Library Aide position are expected to be
conducted soon. We received nearly 300 applicants for the position and many
candidates are eligible.
• Library Technical Services Consultant Sue Epstein was at the Library from March
28 — 31. As a result of this visit the following changes have been made, or are in
progress:
• Merging as many intellectually equivalent records as possible in the
cataloging process
• Discontinued paper and Intranet accountings of periodicals — enhancing
bib records instead
• Discontinued creating duplicate invoices
• Gathering of several different statistics has been discontinued
• Reallocation of materials resources to take place by July 1, 2011 based on:
o Cost of circulation per item documented by internal budget lines
o Turnover rate for Adult materials by our internal budget lines
o Document delivery survey
o Browser survey
o Survey of very specific in -house use of periodicals (by title)
• Discussions taking place now with Technical Services staff regarding
goals they feel they can commit to (98% by days) if we have two
priorities and then move to "first -in, first -out" when handling new
materials
• Over the next 6 months
o Cross training of all Technical Services staff will be completed
o Cross training to include Circulation Supervisor
o Additional volunteers will be recruited to support the work of
Technical Services staff
o True cost of handling gift items will be determined. New
procedures regarding the way these materials are handled and
accepted will be created.
• Renovation Update: The City Attorney has sent Durrant Group a letter regarding a
request for additional funds. Lange Signs has been contacted so that we can get a
sample of another color for the outdoor signs. Bruce Hamous from OPN was here on
April 28 and completed a punch list of the outdoor "plaza" area. The Board agreed
for a representative from the Operations Committee join a proposed weekly meeting
to include City Engineering and City Legal in an effort to resolve outstanding issues.
