SUBJECT: Paperless Agenda
City Clerk Jeanne Schneider has informed me that beginning in October, the
paperless agenda system will be implemented and laptop computers will be issued
to City Council Members.
There will be group training sessions before the September 18, October 2 and
October 16 City Council meetings. Also, Karen Passig of CompuSult will conduct
individual training sessions and in the beginning answer support calls.
This is provided for your information and so that we can answer any questions you
may have at this point.

SUBJECT: Training Schedule - Paperless Agenda
Gateway laptop computers and software, configured per the attached summary, have
been ordered for the City Council, City Manager, City Clerk, Corporation Counsel, and
Assistant City Manager. These are to be used for the paperless City Council agenda
process that is being developed in conjunction with the document imaging project.
The software to be used will be MicroSoft Word, which is the software used in
Coralville for their agenda preparation.
Information Services Manager Chris Kohlmann and I met with Karen Passig,
CompuSult, and we are recommending one-on-one in-home training for City Council
members on use and set-up of the laptops as well as MicroSoft Word. I have
attached a "Computer Competencies" questionnaire prepared by Karen, which each
Council Member needs to complete. I need to have these forms returned to me by
Fridav. August 25 and from these responses, Karen, Chris and I will determine
approximately how much training each Council Member will need. I will have at the
Cit~ Council goal setting sessions on August 28 and 29 a sign up sheet available for
Council Members to sign up for the in-home training. It is anticipated that the in-
home training will take place around the middle of September.
In addition, there will be three group training sessions. It is proposed that these
sessions be scheduled as worksessions prior to the September 18, October 2, and
October 16 regular Council meetings.
Depending upon how the training goes and the comfort level of the City Council
Members, it is planned that we would do parallel agendas (paper and paperless) for
the month of October and make the switch to the paperless agenda in November.
