Library Board of Trustees Update
From the Meeting of
June 27, 2013
Present: Paula Connors, President; Frederick Miller, Secretary; Trustees,
Daniel Boice, John Anderson - Bricker, and Mike Willis
Excused: Diann Guns and Jenny Weiss
The Board met Thursday, June 27. Below is a summary of their meeting:
• Dan Boice was sworn in as a new member of the Board of Trustees. He
will complete the term of David Hammer. Dan is a librarian at Divine Word
College and is also on the Iowa Library Services /State Library
Commission where he serves as chair.
• Mike Willis was sworn in to serve another term on the Board of Trustees.
• May marked 92 percent of the fiscal year lapsing. Expenditures were at
89 percent and revenue at 119 percent of projections. The library is
targeted to come in under budget for the 11th consecutive year.
• May was a slow month and the number of visits and items checked out
were down. The only format demonstrating an increase in check outs
during the month of May was in the downloadable material, which was up
37.7 percent.
• Natalie Braun has completed the first draft of a marketing plan for the
"Geek the Library" campaign. After meeting with representatives from
staff to brainstorm additional ideas she will finalize the marketing plan and
we expect to launch the campaign in mid -July. The goal of the Geek the
Library (GTL) campaign is to highlight the vital economic, educational and
social roles that the Carnegie -Stout Public Library (C -SPL) plays within the
City of Dubuque.
• The Library Services Advisory Committee will meet again on July 12 at
which time the questions for the focus group and the public survey will be
ready for approval. Also at this meeting the committee will discuss how to
recruit for the focus groups and identify the background information that
we feel focus group and survey respondents will need to understand prior
to providing input (such as what the open access program is and how the
libraries in Dubuque County are funded).
• Discussion took place regarding the use of meeting room space. Due to
increased demand it may be difficult to find available meeting room space
for library programs. It was agreed that a priority should be given to library
programs for meeting room space. A review of the policy will take place
for the next board meeting.
• A grant was awarded from the DRA to partially fund a "Books for Babies"
program. This program provides for a gift for all new mothers at Finley or
Mercy Hospital. It includes a board book, a sample library card that can
be exchanged for the baby's first card, information on the importance or
reading to babies and how to read to babies. The Foundation has
committed some matching funds and a grant has been written to the
Wahlert Foundation for the balance. A grant was submitted to a private
foundation for UV filtering treatment for windows. When this is applied to
windows it will be safe to hang art work and the collection will also be
protected from damage caused by ultra - violet light. A grant was also
written to Theisen's called "Passport to Reading ", which focuses on first
grade students of the four elementary schools designated as "in need of
assistance." The grant will cover transportation for first grade classes to
visit the library in small groups for a more one -on -one introduction on what
the library has, where to find information, use computers, get to know
staff, and get a library card. A contest will be held as a follow -up to
encourage students to maintain reading after the library visit. A grant is
also being written for the Best Buy Children's Foundation that focuses on
technology for teens. The grant will be for a portable digital media lab with
a focus on outreach to at -risk teens. The technology will also be available
in the library.
• The fines and fees policy and the circulation policy were updated to reflect
the charge for non - residents library cards, which will take effect on July 1.
