Library Board of Trustees Update

• The close of April marked 83 percent of the fiscal year lapsing with 81
percent of the budget expended. Revenue collected was at 97 percent of
projections.
• April was a slow month with visits down 2 percent compared to April of
2013. Although digital checkouts increased 26 percent, the print collection
for adults was down when compared to FY 13.
• We are short seven employees due to four terminations and three
resignations and approval has been given to hire four employees. We
hope to begin interviews in early June.
• New procedures are in place that deal with cash handling as well as
individual management of personal library accounts. Our former methods
were in place since the library automated. Henricks queried libraries of
similar size in Iowa to ask about their procedures for the payment of fines
and fees. Only one library, Des Moines, has a cash register system that is
integrated with their library software. Waterloo and Sioux City
occasionally compare their library software to cash register tapes and spot
check. West Des Moines and Council Bluffs do not have cash registers
and work strictly with a petty cash drawer, thus a check and balance
system is not done. The Davenport Library has a system identical to the
one that Carnegie -Stout had. Carnegie -Stout will purchase new cash
registers this summer that will be integrated with the library's operating
system to not only have a built-in check and balance system, but to offer
inventory control of retail items.
• Scott King has been hired as a marketing intern for the summer and will
begin work on Monday, May 19. Scott is a student at Iowa State
University working on degrees in both marketing and advertising. He also
has experience in creating advertising for different types of media. This
coupled with his excellent communications skills should lead to a strong
marketing plan for our area of focus, which is on digital collections and
services available outside the library.
• The Board of Trustees will begin the strategic planning discussion on July
26 with Sid Scott facilitating. A correction should be noted here: The
Board requested information on working with Mr. Scott at their April
meeting and it was reported that they voted to work with him, which was
an error.
• The Board approved changes to the Personnel Handbook. Additions were
made to the section covering staff borrowing and management of personal
library accounts.
