Bid for the Iowa League of Cities Conference - 2005 & 2006
The City of Dubuque has received bid information from the Convention and Visitors
Bureau to serve as the host city of the Iowa League of Cities Conference in September
2005 or September 2006.
I respectfully request that the City Council approve submitting a bid to the Iowa League
of Cities, including a letter of support, to host the annual conference during September
2005 or September 2006; approve budgeting $8,500 for the expenses associated with
sponsoring the conference; and appoint a City Council Member to serve as the City of
Dubuque's representative in planning the conference, said Council Member to be
assisted by Public Information Officer Susan Gwiasda.

Bid for the iowa League of Cities Conference - 2005 & 2006
The City of Dubuque has received bid information from the Convention and Visitors
Bureau to serve as the host city for the Iowa League of Cities Conference in September
2005 or September 2006. Dubuque was the host City for this convention in 2000. The
conference was a phenomenal success and attracted the highest number of participants
ever recorded. With our new facilities at the Port of Dubuque in operation, Dubuque
would be an ideal site for these future conference dates.
Conference requirements from the iowa League of Cities request City support including
the following:
· A letter of support signed by the Mayor;
· Sponsorship of the convention center at no charge to the Iowa League;
· A designated individual with direct access to the chief executive officer to serve
as the liaison with the League in planning conference and host city activities;
· A host city information table;
· Ten to 12 individuals to assist League staff with various aspects of the
conference (i.e., ticket takers, workshop monitors, registration assistance), if
needed;
· Commitment by either the Mayor and/or City Council members to invite
attendees at the meeting the following year; and
· Minimum commitment by the Mayor to attend opening general session to
welcome delegates to the meeting.
Platinum Hospitality Group estimates the cost to sponsor Mississippi River National
Education and Conference Center during the Iowa League conference would be
approximately $8,000.

2005 or September 2006; approve budgeting $8,500 during Fiscal Year 2006 or 2007 to
sponsor the Education and Conference Center and for other incidental expenses; and
appoint a City Council member to serve as the City of Dubuque's representative in
planning the conference and host City activities. The City Council member would be
assisted by the Public Information Officer Susan Gwiasda.

We are happy to summit per your instruction rental charges on the Conference Center for the Iowa
League of Cities in September of 2005 or 2006. Listed below you will find the rental charges they
would incur:
* Exhibit Hall will be $2500.00 per day, the move in and move out days will be complimentary
* 10 to 12 breakout rooms will be complimentary as long as Iowa League of Cities has a food and
beverage break that does not fall below 60 people per room. If less than 60 people are guaranteed for
a break the rental on, that breakout room will be $100.00 each day.
* All meal function space will be complimentary with a guarantee of 800 people at each function. If the
guarantee falls below 800 people, the rental charge would be as follows:
800 and above - Complimentary
700 to 799 = $125.00
600 to 699 = $250.00
500 to 599 = $375.00
400 to 499 = $500-00
300 to 399 = $625.00
200 to 299 = $750.00
100 to 199 = $875.00
0to99 = $1000. 00
