Library Board of Trustees Update
From the Meeting ofAugust 28, 2014
Present: Mike Willis, President; Jenny Weiss, Vice President; Dan Boice,
Secretary; Trustees, John Anderson -Bricker, Paula Connors, Patty Poggemiller,
and Jon Trotter
• Open Access transactions in July were down about 16%, which was the
greatest influence on the overall drop of 4% in checkouts.
• Art Subcommittee Update; The Art @ your library show was established
to be self-supporting. The Library earns a 20% commission on art sales,
which then supports the purchase refreshments and advertising for future
exhibits. Last year 1/3 of the exhibits did not have items for sale
(example, library -owned art in the "Out of the Vault" exhibit). That and
exhibits with fewer works for sale depleted the Art @ your library fund,
which began to show a deficit.
We decided to incorporate a silent auction fundraiser into the next art show
during "Fall Into Arts," which takes place on October 3. The silent auction will
feature chair art. The children's -sized wooden chairs were in storage since the
library's renovation. Local artists were invited to decorate the chairs. The chairs
will be on exhibit until the Holiday Art Sale and will be auctioned at that time. In
the meantime Susan wrote a grant to the Schoen Family Charitable Trust for
funds for the Art @ your library and we were awarded $1,000. Art @ your library
is now stable and we can look forward to many more shows.
• Approval has been given to replace all vacant positions except two part-time
positions — one in Technical Services/Circulation and one in Adult Services.
Recommendations have been submitted to City Personnel for the vacancies. The
internal audit for employees' personal library accounts has been completed.
• The Board discussed the ongoing HVAC issues and has requested that the
contractor make corrections to the original installation. As this topic is complex,
please contact Susan Henricks directly for additional information.
• A RFP was sent to four vendors and posted on the library's website for other
companies that might be interested in bidding on RFID.
• The Board approved an updated fines and fees policy, which was changed to
accommodate features in the library's new operating system.
• The Board updated their Library Board of Trustees Policy to incorporate current
practices and clarify some points. Copies available upon request.
• The Board reviewed the opportunity to acquire a limestone bench that was
exhibited in the last Art on the River and decided not to purchase it.
